WASPI and the Information Sharing Gateway Upload
The WASPI team are working on uploading the register of assured ISPs to the Information Sharing Gateway (ISG) system.
The system has been developed for the WASPI team and its stakeholders to access, manage and create Information Sharing Protocols (ISPs). The system is designed to display the status of ISPs that organisations create or are partner to enabling organisations to easily keep track of review dates for ISPs.
The WASPI team are uploading all ISPs that have been assured through the Quality Assurance process into the ISG tool. This will allow organisations to see what assured ISPs they have been the lead organisation or a partner to.
The ISG tool has been developed in line with the latest ISP template – version 5 and as such the WASPI team are only able to upload the assured ISPs developed on this template.
Any ISPs that have not been updated to this template (Version 5) will not be uploaded to the ISG.
However, whilst these ISPs on older templates have not been reviewed in years, we appreciate that the sharing may be still taking place, and therefore, wanted to provide organisations with the opportunity to update these ISPs, so that the WASPI team can upload these to the ISG.
To help facilitate the review of these older ISPs, the WASPI team have reviewed the process of reviewing ISPs and as a result have now created the following:
- We have created an excel document which outlines ISPs that have been assured but are on an older template, and as such require a review to be updated to the new template to enable them to be uploaded to the ISG . Where there is a national scheme, such as Flying Start, MARACs etc. There are some ISPs as part of these schemes assured and on version 5 of the ISP template. The ISP register contains links to these ISPs, organisations are encouraged to view these, and use them as a basis to update their own agreements.
- Redesigned how reviewed ISPs pass through the quality assurance process, depending on the updates made by the author, making this a quicker process. This reduces the burden on authors, QA groups and the WASPI team, and suggest that this can be used for any review of an ISP going forward
- A shorter Quality Assurance checklist focusing on some key areas within the ISP (where changes would be made in the review process).
- A flowchart of the new review process are available on the WASPI website here – waspi.gov.wales/files/waspi-framework-documentation/review-flow-chart/
Can we therefore please ask that all partners review the excel document, identifying ISPs not in the current template that you are the lead organisation for and considering whether:
- The sharing detailed in the ISP is still occurring. Therefore, the ISP needs to be updated to the current template and submitted to the WASPI team to undertake the new QA process of reviewed ISPs, as detailed above
- The sharing detailed in the ISP is no longer taking place, and therefore the ISP is no longer required. Please contact the WASPI team to confirm that this ISP is no longer needed so that we can update our records
In order to align with the ISG rollout timeline previously provided to WASPI stakeholders, organisations will need to update the ISP to the latest template – and submit this to the WASPI team by 31st March 2025. Otherwise, the ISP will not be uploaded by the WASPI team to the ISG.
